GENERAL DATA PROTECTION REGULATIONS (GDPR) MAY 2018

From 25 May 2018 the way we collect your personal data has changed.  We need you to understand what information we collect about you and how we use it.  This is known as “The Right To Be Informed.”  Listed below are the details about our organisation, the people responsible for collecting and holding information about you and the type of information we hold.

Purpose of the processing

In order to become a member of Maidenhead and District Cycling Club we need to collect the following information:

  • Your Full Name
  • Your Full Address (including post code)
  • Your Full Contact telephone numbers including land or mobile numbers
  • Your e-mail address
  • Your emergency contact name and phone number (optional)

Lawful basis for the processing

We need the above information to allow you to become a member of the club.  You will be issued with an electronic membership pass which will identify you as a member of Maidenhead and District Cycling Club.

Legitimate interests for the processing

To enable us to keep a register of our fully paid up members and their status.

Recipients of the personal data and purpose

  • The Chairman of Maidenhead and District Cycling Club          – Member information for general management of the club.
  • The Secretary of Maidenhead and District Cycling Club          – Member information for membership administration.
  • The Welfare Officer of Maidenhead and District Cycling Club – Member information for welfare and duty of care.
  • The Treasurer of Maidenhead and District Cycling Club          – Member information for accounting purposes.
  • The IT Officer tor for Maidenhead and District Cycling Club   – Member information to provision access to the member’s website.
  • The Social Officer of Maidenhead and District Cycling Club   – Member information for the organization of social events and rides.

Retention periods for the personal data

Up to 18 months after a member leaves the club or terminates their membership agreement.  Or the club terminates the members agreement with the member.

Details of the existence of automated decision-making, including profiling

Maidenhead and District Cycling Club does not use any automated decision making or profiling systems.

Transfer of personal data to third parties

Maidenhead and District Cycling Club will not sell, share or pass that data on to any third party for any reason whatsoever.

Changes to our privacy policy

Any changes we may make to our Privacy Notice in the future will be posted on this page and, where appropriate, notified to you by date-stamped communication

 

Your Rights

Right of Access: You have the right to obtain a copy of the information we hold about you.

Right of rectification or erasure: If you feel that any data that we hold on you is innacurate, you have the right to ask us to correct or rectify it. You have the right to ask us to erase your data where you can demonstrate that the data we hold is no longer needed by us. 

Rights to restriction of processing: You have the right to request that we refrain from processing your data. The information will only be used by Maidenhead and District Cycling Club for membership and social activities associated with the club.  If we do not collect this information we cannot issue a membership pass or communicate with you for organised rides.  You do not have to provide consent for use of this information as this is provided at the time of application to become a member.

Rights to object: You have the right to object to Maidenhead and District Cycling Club's processing of your data, under certain conditions. 

Right to withdraw consent: If at any time you do not wish us to hold this information you have the right to withdraw consent by contacting the Membership Secretary by e-mail or in writing.

Right to lodge a complaint with a supervisory authority: If you wish to make a complaint you should contact the Secretary using the information at the top of this document.  You also have the right to complain to the Information Commissioner’s Office if you think there is a problem with the way we are handling your data.
